There are 2 ways to change a student’s District of Service.
Request a Transfer
Transfers are initiated (requested) by the district the student will be TRANSFERRED TO. The current District/SELPA cannot initiate a transfer to another SELPA.
1. Under the STUDENTS section of the upper navigation bar, click on the Add Students link
2. Mark the check boxes and fill in any information necessary on the Add form.
3. Click the Search for Student Records link.
Do not be too specific if looking for a student with an unusual name or name with potential multiple spellings. For instance, if the student is named Katheryne Smith, you will want to be sure that you search for Katherine, Catherine and Kate. You can also try entering the first few letters of the first and last name (Kat Smi). If working from a teacher request you may want to edit the spellings for your search.
4. Click the Request Transfer link icon, for the record you wish to transfer.
5. The next page will allow you to assigning the student a school and a Case Manager.
6. Select the District the student will be transferring to.
7. Click Request Transfer button to finish the transfer request. This will send an alert to the other district or SELPA so they can process the transfer.
You can track the record on your Homepage by clicking the Students Transferring Into District/SELPA link, under the TRANSFER REQUESTS section.
Bulk Transfer
Bulk Transfers will only pertain to students who are changing District of Service within a SELPA. Single District SELPAs will not have the option to Bulk Transfer.
1. In the Searches section of your upper navigation bar, click the New Search link
2. Select the necessary search criteria to filter down to the specific student.
3. Click the Search button.
4. Once you have your Results, select Bulk Transfer Students from the drop down at the top.
5. Click the Go button.
6. Select the District and School the student will be transferred to.
7. Enter an Exit / Transfer Date and Reason.
8. Check the Remove ALL Service Providers at this time box. (if applicable)
9. Check the Don’t Transfer District of Residence box. (if applicable)
10. Check the box that states, I acknowledge that I will be updating XX students
11. Click the Update Button.
12. Click the Ok button on the confirmation screen.
These students will remain in the sending district until accepted by the receiving district.
SELPA level users who have access to both districts can complete the bulk transfer process.
